1. Who We Are

Convra AI ("Convra," "we," "our," or "us") is an AI communication coaching service operated under Galaksi AI. This Privacy Policy explains how we access, collect, use, share, store, retain, and protect information when you use Convra AI through our website, Android app, mobile WebView, backend services, AI features, and related products (collectively, the "Service").

2. Information We Collect

Depending on how you use the Service, we may collect the following categories of information:

  • Account and profile information: name, email address, user ID, nickname, role selection, profile photo, avatar URL, account preferences, subscription tier, entitlement status, and support contact details.
  • Google Sign-In information: when you sign in with Google, we receive basic profile information such as your name, email address, Google account identifier, and profile picture. We do not request or access your Gmail, Google Drive, Google Calendar, contacts, or Google password.
  • Authentication and security information: login sessions, authentication tokens, provider metadata, device sessions, IP address, abuse-prevention signals, and account security events handled through Supabase, Google Sign-In, and our backend.
  • Voice, audio, and speech information: microphone input, voice recordings, audio clips, live coaching audio, transcripts, pronunciation attempts, roleplay responses, and other spoken content you choose to submit.
  • AI coaching content: prompts, scenario context, scripts, user responses, transcripts, AI-generated feedback, scores, micro-metrics, coaching summaries, saved lessons, mastery tracks, persona traits, communication insights, and custom scenarios.
  • Usage, quota, and audit records: app interactions, completed drills or scenarios, session duration, live AI seconds, standard AI seconds, custom scenarios created, mastery tracks created, usage-limit checks, plan resolution, entitlement changes, XP, streaks, activity logs, notification delivery records, and admin-visible account snapshots.
  • Device and technical information: browser or WebView information, operating system, device type, app version, request metadata, crash or error logs, diagnostics, performance data, push notification token, and approximate network-derived location.
  • Local device storage: the app may store limited session, fallback, preference, cached app data, and notification settings in browser or mobile WebView storage so the Service works smoothly.
  • Payment and billing information: if paid subscriptions are enabled, payment details are processed by Google Play, Lemon Squeezy, or another authorized payment provider depending on the platform and purchase flow. We do not intend to store full card numbers on our servers.
  • Support, complaint, and dispute information: messages you send us, screenshots, issue descriptions, refund or billing questions, abuse reports, and records needed to investigate support requests, complaints, policy issues, fraud, or false claims.

3. How We Use Information

We use information for the following purposes:

  • To create, authenticate, maintain, and secure your account.
  • To provide AI-powered speech, roleplay, pronunciation, interview, leadership, and communication coaching.
  • To process audio, generate transcripts, evaluate responses, calculate scores, and provide feedback.
  • To personalize scenarios, mastery tracks, persona insights, dashboards, reminders, and usage limits.
  • To save your progress, history, preferences, profile, and subscription or entitlement status.
  • To send service notifications, push notifications, reminders, inactivity nudges, account alerts, and important operational messages when enabled or permitted.
  • To measure quota usage, enforce plan limits, prevent abuse, detect abnormal usage, and protect paid or limited features.
  • To operate, debug, protect, improve, and measure the Service.
  • To investigate support requests, complaints, refund requests, fraud, misuse, chargebacks, policy issues, or disputed usage claims.
  • To comply with applicable laws, platform rules, Google Play requirements, payment-provider obligations, and legal requests.

4. Audio, Microphone, and AI Processing

AI and Audio Notice

Convra AI uses microphone access only when you choose to start a voice-based feature or grant the related permission. Your audio and related text may be sent to our backend and AI providers to deliver coaching, transcription, feedback, scoring, and live roleplay functionality.

Live coaching audio is processed to provide real-time AI interaction. Other practice features may convert audio to text, generate feedback, and save transcripts, scores, feedback, or session records so you can review progress in dashboards, mastery tracks, and persona insights.

Do not submit information that you do not want processed by AI systems, including highly sensitive personal information, confidential business information, regulated health information, financial account information, government IDs, passwords, trade secrets, or information about another person unless you have the right and consent to do so.

5. Push Notifications and Reminders

If you enable notifications, Convra AI may collect and store a device push token, notification preferences, timezone, reminder time, delivery status, and related metadata. We use this information to send requested reminders, test notifications, daily practice reminders, inactivity nudges if you have not completed a drill or scenario for more than three days, and important service messages.

You can turn off notifications in your device settings or, where available, inside the app. Push notifications are delivered through Firebase Cloud Messaging and mobile platform notification services. Delivery is not guaranteed and may depend on your device, operating system, network, permissions, and platform rules.

6. Usage Records, Admin Visibility, and Dispute Protection

We maintain usage, entitlement, session, notification, and activity records to operate the Service, enforce fair usage, support subscription limits, debug technical problems, investigate complaints, and protect against fraud, abuse, chargebacks, false claims, and unauthorized account activity.

Authorized administrators or support personnel may view limited account, usage, subscription, diagnostic, and activity information when needed for support, security, compliance, billing, or service operations. We do not use admin access for casual monitoring of private coaching content.

7. Third-Party Service Providers

We use third-party providers to operate the Service. These providers may process information as needed to provide their services to us or as otherwise described by their own terms and policies.

  • Supabase: authentication, database, storage, sessions, and related backend services.
  • Google Sign-In: authentication and basic Google profile information, including name, email, and profile picture.
  • Google Gemini / Google AI services: AI processing for text generation, speech analysis, feedback, live coaching, and related model outputs.
  • Google Cloud Run / Google Cloud infrastructure: backend hosting, API routing, logging, scheduler jobs, and infrastructure security.
  • Firebase Cloud Messaging: push notification delivery and token handling.
  • Payment processors and app stores: payment, subscription, tax, refund, and billing processing if paid plans are enabled.

We do not sell personal information. We may share information with service providers, legal authorities, professional advisers, app stores, payment providers, or business successors when reasonably necessary to operate the Service, comply with law, protect rights and safety, investigate abuse, resolve disputes, or complete a merger, acquisition, financing, or similar transaction.

8. AI Model Training and Improvement

We do not use your personal audio, transcripts, or private coaching content to train our own foundation model. We use third-party AI providers to generate coaching responses and feedback. Those providers may process prompts, audio, transcripts, responses, logs, safety signals, and metadata under their own applicable terms, data processing terms, retention periods, and abuse-monitoring rules.

Where we use paid or enterprise API services, provider terms may state that prompts and responses are not used to improve provider models except where explicitly enabled by the account owner. We do not intentionally opt in to sharing private user coaching content for model training unless we clearly disclose that practice or obtain any required consent.

9. Retention and Deletion

We retain information for as long as reasonably necessary for the purposes described in this Policy, including to provide the Service, maintain your account, comply with legal obligations, resolve disputes, prevent abuse, enforce agreements, and maintain accurate usage and billing records.

  • Account data: retained while your account is active, unless deletion is requested or a longer retention period is required or permitted by law.
  • Transcripts, feedback, scores, persona insights, and progress: retained to provide coaching history, dashboards, mastery tracks, performance trends, and user-requested features.
  • Audio: live audio is intended for real-time processing. Practice recordings, derived transcripts, or session records may be stored when needed for review, progress tracking, dispute handling, or feature functionality.
  • Usage and audit logs: retained as needed for security, debugging, plan enforcement, fraud prevention, support, chargeback defense, and compliance.
  • Payment and tax records: retained by payment providers and, where applicable, by us for accounting, tax, refund, dispute, or legal obligations.
  • Backups: deleted information may remain in encrypted backups or provider logs for a limited period before being overwritten or deleted according to backup cycles.

Account and Data Deletion

You can request deletion of your Convra AI account and associated personal data by emailing support@convra.ai from the email address used for your Convra AI account. You can also initiate this request from the Profile Settings area inside the app.

After receiving a valid deletion request, we will delete or anonymize your account profile, authentication-linked profile data, practice history, transcripts, usage records, push notification tokens, reminder settings, and related app data from our active systems, including Supabase where applicable.

Some limited records may be retained where required or permitted for security, fraud prevention, abuse investigation, dispute handling, legal compliance, tax or accounting obligations, backup integrity, enforcement of our Terms, or defense against false or unauthorized claims. Deletion requests are normally processed within 30 days after verification.

10. Your Choices and Rights

Depending on where you live, you may have rights to access, correct, delete, restrict, export, or object to certain processing of your personal information. You may also have the right to withdraw consent where processing is based on consent.

  • You can update certain profile information in the app.
  • You can deny microphone permission, but voice-based features will not work without it.
  • You can deny or disable notification permission, but reminders and push alerts will not work without it.
  • You can sign out of the Service and revoke app access from your Google account settings.
  • You can request account or data deletion by contacting us.

We will not discriminate against you for exercising privacy rights where applicable law prohibits such discrimination.

11. Security

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information, including encryption in transit, authenticated API access, backend processing for sensitive AI calls, access controls, role-based admin access where practical, logging, and provider security controls. No internet or storage system is completely secure, and we cannot guarantee absolute security.

You are responsible for keeping your account, device, and sign-in methods secure. Notify us if you believe your account has been compromised.

12. International Processing

We and our providers may process and store information in countries other than where you live, including countries whose privacy laws may differ from your jurisdiction. Where required, we rely on appropriate safeguards for international transfers.

13. Children's Privacy

Convra AI is not directed to children or anyone under 18. We do not knowingly collect personal information from children under 18. If you believe a child has provided us personal information, contact us and we will take appropriate steps to delete it.

14. Legal Requests, Safety, and Compliance

We may access, preserve, or disclose information if we believe it is reasonably necessary to comply with law, enforce our Terms, respond to legal process, protect users, protect the Service, investigate fraud or security issues, resolve disputes, respond to platform or payment-provider inquiries, or prevent harm.

15. Google Play Data Safety Summary

For Google Play disclosures, Convra AI may collect and process personal information, audio, app activity, user-generated content, app information and performance data, device or other identifiers, diagnostics, and payment-related information if paid plans are enabled. Data is used for app functionality, authentication, AI coaching, personalization, notifications, analytics, security, fraud prevention, account management, subscription enforcement, support, and service improvement. Data is transmitted using encryption in transit, we do not sell personal and sensitive user data, and users may request deletion.

Your Google Play Data safety form should remain consistent with this Privacy Policy and the actual behavior of the app.

16. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will post the updated version on this page and update the "Last updated" date. If changes are material, we may provide additional notice where required by law or platform policy. Your continued use of the Service after the updated policy becomes effective means the updated policy applies to your use of the Service.
